    Reimbursement process

    • Step 1 — Apply for funding

      • Applications for reimbursement must be approved before the course/event.

      • Give costs for the event, travel, overnight accommodation, and meals (see below).

      • Each trust has a different application form or process, check with your PGME department.

      • For events that will occur after a change of trust (eg: working in GWH, but rotating to NBT by time of course/event), consider cc'ing in the TPD ± HoS if encountering difficulties.

    • Step 2 — Book, pay for, and attend the course/event

      • Await funding approval before booking.

      • Retain receipts for the course, travel and meals.

    • Step 3 — Submit receipts

      • Receipts must be submitted within 6-8 weeks (absolutely no later than 3 months) of having attended a course and paid for it. Any submissions after this deadline will not be reimbursed.

    Funding covers:

      • Course categorisation list — August 2023

      • Cat 1 — ‘Required’

        • Fully funded

        • >£1000 must be approved by NHSE SW first

        • Includes ALS, ATLS, APLS for ICM trainees

      • Cat 2 — ‘Enhanced Knowledge’

        • Fully funded

        • >£1000 must be approved by NHSE SW first

      • Cat 3 — ‘Career Progression’

        • 50% funded

        • <£1000 requires TPD approval

        • >£1000 requires NHSE SW approval

      • Exam revision course — 1 per year up to £600 will be fully funded.

    • Overnight accommodation

      • Reimbursed if it would be unreasonable to travel on the day of the event.

      • Max £120/night outside of London, and £150/night in London, including breakfast.

      • Max £20/night if staying with friends or family.

      • Limited to the duration of the event.

      • If travel is >100 miles round trip, one additional night, either before or on the night of the last day of the event, can be funded (e.g. a course runs from February 3rd to 6th, you can either claim for nights of Feb 2nd–5th or 3rd–6th).

    • Travel

      • Public transport is reimbursed at the most economical rate of travel (not first or business class).

      • Car mileage is reimbursed at £0.30/mile, calculated from your work base to the event.

    • Meals

      • Lunch allowance £5.00 (if >5hrs away from base, including the lunchtime period between 12:00 pm to 2:00pm).

      • Evening meal allowance £15.00 (if >10hrs away from base and returning after 7:00 pm).

      • No reimbursement for alcohol.
